Who they are: Elizabeth Dalnoki, Manager
Main distro: enterprisebilling@upwork.com
**Please, CC Charlene and your Team Lead on any email communications.
What they do: Enterprise Billing handles all invoicing for Enterprise and Net30 billing. They also handle Business and Enterprise membership billing and contract negotiation from a fiscal standpoint.
Credits to Net30 and Enterprise customers require action being taken with regards to the related invoice and must be coordinated with EB.
Please do not reach out to any members of the EB team, or the manager, directly. Due to the nature of the work performed by Enterprise Billing, they are on a very strict schedule and have specific schedules for handling support escalated issues.
Where can I get a copy of my invoices?
Agent: please email enterprisebilling@upwork.com (and CC Charlene & your TL)) with the following information
- Parent account UID
- Accounting Entity
- Date range of invoices needed
- UID and email of the person making the request
Please make sure the person asking is a member of the team, and they have proper permissions.
What is a PO?
For the purpose of Upwork’s Enterprise and Business clients, a PO (Purchase Order) is used in conjunction with Project Estimates, and the client’s own internal invoicing to collaborate with and pay freelancers. Since the client’s own company must approve all POs, approval being an indication that the funds are available and have been allocated specifically to pay for the freelancer’s services, the PO viewed as a promise to pay.
Each week (Hourly) or Milestone released (Fixed Price), Upwork will extend funds to freelancers on the regular payment schedule, but will not receive payment for the extended funds at that time, as in the case of a typical Marketplace relationship.
Instead, Upwork will wait until the PO is fulfilled and the client’s internal account pays the invoices associated with the PO. This typically happens in a 30-day cycle.
Note*
We (Upwork) cannot provide PO numbers. Each client will have their own internal process for requesting and receiving the appropriate approval in order to receive a PO number. Once approved, the PO number will be added within the service contract. In order to use a PO, it must be active. Once a PO is closed, a new PO will need to be issued.
Example:
The client posts a project and receives several proposals. After careful deliberation with the team, decides on the FL they wish to collaborate with. The client will request a Project Estimate with a budget of $500. This is typically done from the received proposals list prior to extending an invitation to interview, or an offer.
If an HM wants to make an additional payment on a contract, how do they find out how much is left in the PO budget?
Is it possible to have many projects or contracts on one PO, or is each PO specific to the contract?
POs can be used across several projects or for just one project. Only HMs with permission are able to use a PO.
Do HMs have access to this info and if so, where?
HMs can see who has access to what POs under Reports > Purchase Orders > PO menu (three dots) > edit. They will be able to determine if a PO is open for company use, or specific individuals.
Who do I contact for PO changes?
Occasionally an HM or client will need to update a PO number. When this occasion arises, you can work directly with the EPS Manager or send changes to EPS@Upwork.com. Please reach out on behalf of the user.
What is a Project Estimate?
A Project Estimate is requested from a FL/Agency prior to an offer being sent. This gives the client the opportunity to share details about the project, get an estimate and determine if the project fits within a budget. Once the estimate is received, the client will then be able to request a PO before sending an offer.
What is Net30?
Net30 is a billing agreement between Business/Enterprise clients and Upwork that allows clients to conduct business as usual, and receive an invoice for the charges that accrued during the previous 30-day billing cycle. While we are not actively charging a payment method as we do with Marketplace clients, all payments will become available following the same workweek payment schedule as all marketplace contracts.
*Not every client who wants Net30 will be a candidate for Enterprise. Please research company size and platform use before recommending the user fill out the form. We can help those who do not qualify by relating how the features available in Marketplace Plan are beneficial to growing their business until they become eligible.
